Proposal · for Edwin · 9 July 2026

I do it, we do it,
you do it.

Your mail already contained the whole plan: the projects, the order, even the way of working. Voordoen, samen doen, zelf doen. So this proposal follows your list, step by step, with prices on it. Nothing invented.

The ask

Two tracks, four projects, one ambition. Word for word your own list.

Product
  • One UI/UX template that returns across the whole product, on the current stack (.NET, Kendo, SQL)
  • AI features like the examples in the demo. You make the list, we sharpen it in phase 1
  • The product in NL, DE and EN, with a language switch
Marketing
  • The brand rules refreshed and professionalised: colours, logo, typography, styling, plus the Word and PowerPoint templates
  • One good master prompt that carries the brand and the communication
  • A new, modern WordPress website with the current content, slightly restructured (you have the document), easy to maintain yourselves
And the ambition, in your own words: "kampioen AI toepassen in onze sector." Good bar. The competition is quiet enough to make that real, that already came out of the market analysis in the review. But it only works if the skill ends up inside Xapti, not with me. Which is exactly the adviser you said you were looking for: one who is fine with you doing it yourselves, but watches with a critical eye.
My favourite part of your mail

The approach

You wrote the method yourselves: eerst voordoen, dan samen doen, dan zelf doen. I don't need to translate that. Every project runs through those three steps, and each time they go faster because the skill sticks with you.

Voordoen

I do it

I build the first piece, you watch. The demo you clicked through was exactly this step. You see what's possible, how fast it goes and what way of working comes with it.

Samen doen

We do it

You at the controls, me next to you. Unlimited questions. This is where your own routine forms.

Zelf doen

You do it

You run it yourselves, eventueel met ondersteuning: I stay on call, review what you build and speak up where it creaks.

Everything made for Xapti is Xapti's. The website, the templates, the prompts, the infrastructure, all of it. My goal is that you can do this, not that you keep needing me.
Your numbered steps, answered in order

The plan

Your mail numbered the steps: infrastructure, master prompts, LLM choice, then four projects. The first three plus your first project make one phase: I set up and train on real work, your new website. The rest follows your order, untouched.

WhenWhatForm
Jul · Oct Phase 1 · Foundation + website & huisstijl (your steps 1, 2, 3 + first project)
Infrastructure for both goals, the master prompts, LLM choice on Xapti infra, Claude training. All practiced on the real first project: the website and huisstijl. "Ik denk met Claude." Correct.
Fixed · € 7,750
Autumn Phase 2 · UI/UX
One template across the whole product. The demo becomes the starting point
Your team · packs optional
Autumn · winter Phase 3 · Smart AI features
From your list to tested features, one at a time
Your team · packs optional
Winter Phase 4 · Translations NL / DE / EN
Mostly an engineering job your team can own, I set up the approach
Your team · packs optional
No hourly billing in this proposal. You set the pace, your team builds, and the subscription keeps me on tap while you do. Want a phase to move faster, or a piece delivered outright? Every phase has packs at fixed prices. Efficiency is my risk, and with AI that's a risk I'm happy to take.
Your steps 1, 2 and 3, trained on your first project · one fixed price

Phase 1 · Foundation + website & huisstijl

Roughly July through October, one fixed price, including three working days on site: kickoff, training and the brand day. The subscription covers the sparring and review in between. Clear deliverables:

  • Infrastructure set up for both tracks. You suspected marketing and product need a slightly different setup. They do. One decision document, plus working accounts and tooling.
  • LLM choice and a responsible setup on Xapti infra. Which models for what, which data may go where and which may not, GDPR-proof. Plus a one-page AI policy.
  • The master prompt framework. The brand and communication prompt as the first working example, and the format to build more yourselves.
  • Claude setup and training for the whole team. Everyone up and running, Claude Code for the developers.
  • Your first project as the training ground. The setup, the prompts and the training all practice on the real thing: the new website and huisstijl. No exercises, no sandbox. Your team ships its first AI-built work in this phase.
  • A concrete plan per phase. Order, roles, what you do yourselves and where I'm in the room. Including your AI feature list, sharpened, and a firm fixed price for every pack.
After phase 1 you can already move forward on your own. Everything after that is speeding you up, not making you dependent. And if you stop right there, you keep all of it.
Value, not hours

Pricing

One thing to know about how I price: I work with AI, so I'm fast. Hourly billing would punish exactly that. So everything has a fixed price, the pace risk is mine, and you always know what you're spending.

Phase 1 · Foundation + website
€ 7,750
fixed · clear deliverables
Sparring subscription
€ 1,750 /mo
sparring, review & new ideas · cancel any month
Packs
from € 2,500
fixed per pack · optional
Anything outside this
€ 150 /hr
the fence, rarely needed
The subscription ("eventueel met ondersteuning")

Small, deliberately. This is me on tap, not me on the project. Everything with a deliverable lives in a pack, this covers everything in between:

  • Quick sparring whenever you're stuck: a call, a question, a second opinion.
  • Review of what your team builds: prompts, screens, copy, code. Response within a business day.
  • New ideas, tools and concepts as I find them. I learn this field every day, you get the delta. When I learn, you learn.
  • Remote, monthly in arrears. Cancel any month, no minimum.
The packs (optional, you choose per phase)

Every phase can run two ways: your team builds it with me sparring alongside, or I deliver a first version outright, fixed price. Quoted firm in phase 1, indicative:

  • Website first version (within phase 1) · € 7,500, includes two revision rounds
  • UI reference pack (design system, tokens, example screens) · € 7,500
  • Feature prototype · € 2,500 each
  • Translation pipeline · € 3,500
  • New needs get a firm pack quote as they come up: extra training days, a screen batch, German onboarding.
Terms
  • Phase 1: 25% at signing, 50% halfway, 25% at delivery of the six phase 1 deliverables.
  • With a positive reference. You offered to be a reference once this runs. Gladly accepted, it's part of the deal.
  • All amounts ex VAT. Invoices payable within 14 days.
So we understand each other

What this is not

No price on your pace

Your team builds, so your calendar is the planning. I only put fixed prices on the things I deliver myself: phase 1 and the packs. Nothing in this proposal bills you for being busy.

Not a brand designer

I'll show you how far AI gets with design, and that's further than you'd think. But don't count on it blindly. If you don't like the AI designs, a real designer steps in after all. That's a real risk, so plan for it. A few designer days are money well spent.

Not an extra developer

Packs are first versions, not me joining the team. Your people build the real thing, on your stack, with your knowledge. That's exactly what you asked for, and it keeps the skill with you.

You wanted to start in the coming months. It's July.

First step

  • 1. A yes by mail is enough.
  • 2. We pick a kickoff date, July still works for me.
  • 3. Send ahead: the AI feature list, the website structure document, whatever brand material exists, and per project, who can spend how many hours a week.

Looking forward to this one.
Cheers, Douwe
